Processing Personal Data

The following personal data is processed by Passguard:

  • Your e-mail address;
  • Your home address;
  • Your (mobile) phone number;
  • Your gender;
  • Your date of birth;
  • Other personal data as provided in one of the web forms on our website, such as a web form forfeedback, a web form for job applications, a web form for posting vacancies, a web form forsending an SMS or a web form for correspondence and/or telephone contact;
  • Comments or questions that we have received from you through service-related communicationand activities;
  • The name and address of the organization you work for;

Purposes for processing personal data

Passguard requests your consent to share your personal data with Passguard for the following purposes, but not exclusively limited to:

Legal bases for processing personal data

If third parties process your data on behalf of Passguard, we contract a processing agreement with the party to ensure the same level of security and confidentiality of all your personal data. Passguard remains solely responsible for these data processing operations.

Passguard only shares your personal data with associated companies or external service providers outside the EEA if legal transfer mechanisms have been respected. Passguard only shares your data with law enforcement authorities and other parties if it is required to do so by law or if it is legally permitted to do so.

Security

Passguard guarantees a level of security for all data that we store that is appropriate to the risks that are involved. To achieve this, we have implemented appropriate technical and organisational security measures to guarantee the integrity, availability and confidentiality of your personal data. We regularly test and check our systems, make periodic backups, apply encryption, work through encrypted connections and maintain a strict confidentiality policy for our screened employees at all times. If data is transferred to a party outside the European Union, an appropriate equivalent level of security also applies here. Passguard also has a thorough procedure in place in the case of a (possible) data breach.

Retention period

Passguard retains your data depending on the purpose for which we received or collect the data and for as long as they are necessary to achieve the purposes described above, unless a legal obligation imposes or permits a longer retention period. Passguard will remove your personal data in a responsible manner when the retention of your personal data no longer necessary is.

Right of access to your personal data

You can contact Passguard by using the aforementioned contact details to obtain information about which personal data Passguard processes from you and to receive a copy thereof. You can have your own personal data corrected or deleted by Passguard, as long as no legal obligations prevent this correction or deletion.

Right to withdraw consent, right to restrict processing, right to object processing and right to data portability

Furthermore, you have the right to withdraw your consent to the processing of personal data at any time, the right to restrict the processing and the right to object to the processing of your personal data by Passguard. In addition, you also have the right to data portability.

Submit request

You address a specified request to Passguard by using the contact details above, stating your name and address. Passguard will check your identity before your request can be executed. No costs are involved in exercising your rights.

Response

Passguard will honour a request within four weeks. In the event of a complex request, Passguard can extend the period from four weeks to a maximum of twelve weeks. Passguard will always indicate the reason for this postponement. In the event of a request for removal, Passguard will remove the personal data as soon as possible, unless and to the extent that the law requires the personal data to be retained or if there are (other) urgent reasons that oppose removal.

Complaint

Passguard assists you in exercising your rights. Should you nevertheless be unable to reach consensus with Passguard, you always have the right to submit a complaint to the Autoriteit Persoonsgegevens (Dutch DPA). More information on this can be found here.
